Healthcare IT Conversion and Data Management for Tampa General Hospital

Tampa General Hospital

About the Client

Tampa General Hospital is a private, not-for-profit hospital and one of the most comprehensive medical facilities in West Central Florida. The organization serves 12 counties with a combined population exceeding four million people. With more than 1,000 licensed beds and over 15,000 staff members, Tampa General Hospital is also one of the region’s largest employers.

Project Summary

After acquiring three community hospitals, Tampa General Hospital selected Avarion, now part of Med Tech Solutions, to lead the full IT conversion of all three sites into the health system’s enterprise environment. This foundational work supported the organization’s broader technology transformation and set the stage for reliable, long-term data management.

With multiple legacy systems, a major Epic implementation underway, and a critical need to protect data accuracy and the legal medical record, Tampa General Hospital again turned to Med Tech Solutions to lead the Data Management workstream. The engagement focused on four core areas: data management planning, Epic reporting and quality alignment, legacy-system archival, and structured leadership and communication.

Med Tech Solutions worked across Health Information Management, Quality, Revenue Cycle, Cybersecurity, Compliance, Ambulatory leadership, vendors, and IT to coordinate requirements, establish target dates, communicate progress, and provide accountable leadership throughout the transition.

Key Project Deliverables

  • Conducted a detailed review of systems and data across the three acquired hospitals.
  • Identified integration requirements for transitioning the acquired facilities to Tampa General Hospital’s enterprise platforms.
  • Developed a practical roadmap for legacy system archiving, clinical data conversion into Epic, and the realignment of analytics and regulatory reporting.
  • Helped protect the legal medical record by defining which historical data needed to be retained and how authorized users would access it.
  • Oversaw the Cogito team responsible for rebuilding and validating key Epic reports supporting clinical, financial, and patient accounting requirements.
  • Coordinated reporting continuity for core measures, electronic clinical quality measures, THA/TKA patient-reported outcome performance measures, CMS submissions, and enterprise quality reporting.
  • Worked closely with Health Information Management to define clinical archival requirements and support legal and clinical access needs.
  • Guided archival efforts across a significant group of legacy applications, helping the organization prepare to retire systems and reduce associated costs.
  • Led recurring cross-functional workgroups involving Health Information Management, Quality, Revenue Cycle, Cybersecurity, Compliance, Ambulatory leadership, vendors, and IT.
  • Provided senior leadership with documented action items, target dates, and transparent progress updates.
